The Role

The Coordinator, Operations supports the Integrated Operations team in the delivery of operational excellence, regulatory compliance, and continuous improvement initiatives across Vantage's network. Working collaboratively with internal teams and network locations, this role coordinates programs and projects that strengthen operational governance, support regulatory and environmental compliance, and promote the consistent implementation of operational standards and best practices across the network.

The Coordinator is responsible for supporting operational assurance activities, including quality assurance audits, compliance monitoring, and the development and maintenance of operational processes, procedures, and documentation. The role coordinates timelines, deliverables, and stakeholder engagement for network operational projects and programs, while providing administrative and analytical support to both the regulatory and environmental portfolios and other strategic operational initiatives.

In addition, the Coordinator develops training and educational materials, conducts research on emerging industry trends, regulatory changes, and operational best practices, and communicates relevant information to network locations. The role also supports the development of operational service offerings, project proposals, and business development materials, contributing to the continued growth and success of Vantage's Operations Services.

Responsibilities

  • Coordinate and support the delivery of Integrated Operations programs and initiatives across Vantage's network.
  • Support regulatory compliance activities by reviewing operational documentation, monitoring regulatory requirements, and assisting network locations in maintaining compliance with applicable legislation, standards, and company policies.
  • Coordinate operational assurance activities, including Quality Assurance (QA) audits, Master Service Agreement (MSAs), peer reviews, and corrective action tracking.
  • Develop, maintain, and continuously improve operational processes, procedures, templates, manuals, and guidance materials to support consistent operational practices across the network.
  • Maintain the operational document control system, ensuring operational manuals, standard operating procedures, emergency plans, and regulatory documentation remain current, accurate, and appropriately controlled.
  • Develop and maintain systems to monitor regulatory deadlines, compliance obligations, required exercises, inspections, certifications, and other recurring operational requirements.
  • Support the development, implementation, and ongoing maintenance of operational programs, including emergency management, wildlife management, safety management, environmental initiatives, and other operational management systems.
  • Assist in the coordination, facilitation, and documentation of emergency planning activities, tabletop exercises, operational readiness exercises, and live emergency exercises.
  • Support the Environmental portfolio through coordination of environmental programs, reporting requirements, regulatory initiatives, and sustainability projects.
  • Develop, coordinate, and maintain operational training materials, learning modules, guidance documents, and educational resources to support network operational capability and regulatory compliance.
  • Coordinate the delivery and tracking of operational training and learning programs based on network priorities and operational needs.
  • Conduct research on industry trends, emerging regulations, operational best practices, and new technologies, and communicate relevant information and recommendations to internal stakeholders.
  • Collect, analyze, and report operational performance data, including the development and maintenance of dashboards, compliance metrics, and key performance indicators.
  • Maintain regulatory reference libraries and operational resource repositories, ensuring standards, guidance documents, and regulatory publications remain current and accessible.
  • Support operational projects and cross-functional initiatives by coordinating schedules, tracking deliverables, facilitating stakeholder engagement, and maintaining project documentation.
  • Assist in the development of operational service offerings, proposals, presentations, manuals, and supporting materials for business development opportunities.
  • Build collaborative working relationships with internal teams, network locations, regulators, consultants, and external stakeholders to support the successful delivery of operational programs.
  • Perform other duties and responsibilities consistent with the scope and level of the position.

Primary Qualifications

 

-You hold an undergraduate degree in Business Administration, Operations, Aviation Business Administration, Logistics and Supply Chain Management, Public Administration, Civil Engineering, Transportation Planning, Emergency Management or related disciplines and/or equivalent experience.

 

-You have 3-5 years recent experience working in aviation.

-Experience with and knowledge of the following would be a considered an asset: ICAO airport-related annexes/documents, FAA regulations and circulars, IATA standards, CATSA and TSA processes, Canadian Aviation Regulations, Aerodrome Standards and Recommended Practices, Canadian Aviation Security Regulations

-SMS Experience considered an asset.

-Experience managing or coordinating airport operational programs additionally considered an asset, including:

  • Understanding of occupational health & safety regulations
  • Strong organizational skills, ability manage competing priorities
  • Ability to exercise good judgement, use resourcefulness and tact in solving problems
  • Experience working in a complex, fast-paced and multi-disciplinary environment
  • Curious about the “why” and able to thrive in ambiguity
  • Strong verbal and written communication skills, attention to detail when creating and editing documentation
  • Sound knowledge of project management delivery techniques
  • Demonstratable business acumen
  • Critical thinking and analytical skills for the resolution of operational problems
  • Able to be a self-starter and make effective decisions with minimal supervision combined with being a team player focused on effective operational performance in a complex environment
  • Ability to foster strong and meaningful ongoing relationships with network airports and stakeholders
  • Ability to multitask, manage time, and respond well under pressure (e.g., emergency situations, etc.)
  • Willingness and ability to travel regularly within North America and Internationally as required for site support and new business development

 

Primary Work Location: Hybrid / Remote position – ideal candidates will be located in one of the following areas: greater New York City, Tri-State Area, greater Boston, US Northeast Region. *On site travel to airport and other network assets will be occasionally required.

Compensation: The expected annual compensation for this position includes a base salary of $80,000 - $105,000 per year, plus eligibility for an annual incentive.
