The Role:

The Commercial Coordinator plays a vital role within the corporate commercial team, acting as the key link between different departments and network locations. This position is responsible for coordinating and supporting commercial projects and initiatives, ensuring network locations and advisory services clients requests are being delivered in a timely manner. The Commercial Coordinator will assist with the development, organisation, and project management of initiatives undertaken by the commercial team. The role will be involved in several aspects of the commercial department, including supporting projects, market research and data analysis, business development, event planning and management and other daily tasks that help the management team optimize business performance, drive additional revenue and deliver on its existing obligations across Vantage’s locations.

Role and Responsibilities

 

Support & Coordination: 

  • Serve as a key point of contact between the commercial team and network locations for commercial matters.
  • Track key strategic initiatives and ensure milestones are achieved.
  • Support local teams in developing and implementing corporate commercial policies, procedures, and strategies.
  • Ensure follow-up actions and decisions are tracked and implemented. 
  • Prepare reports and presentations for delivery to stakeholders on commercial matters and issues.
  • Prepare the management team for meetings and engagements by gathering insights, relevant background information, or updates.
  • Uses initiative to research and identify areas of improvement or opportunity.
  • Stays abreast of market trends within their industry as a whole.
  • Monitors competitors, from new business to financial results.

 

Project Coordination: 

  • Support the rollout of commercial projects, campaigns, and initiatives across the network and client projects.
  • Assist in creating and updating project plans, timelines, and schedules. 
  • Help allocate tasks internally and externally and monitor progress to ensure deadlines are met. 
  • Organize meetings and workshops. Document results from each including action items and key milestones.
  • Liaise with Business Development, Marketing, Finance, and Operations as needed to ensure smooth execution of commercial projects, campaigns, and initiatives.
  • Facilitate the flow of information across the project / commercial team.
  • Provide formal and informal updates to Directors and Senior Director regarding active project and initiative progress.  
  • Keep everyone informed of updates, changes, and risks.
  • Help identify potential risks or issues that could impact the project.
  • Monitor and escalate issues when needed.

 

Administration: 

  • Support the Vice President, Commercial and the Administrative Assistant with the coordination of meetings (internal and external), including scheduling, creation of support materials and appropriate follow-up.
  • Anticipate executive needs; draw on resources throughout the department to resolve issues.
  • Respond to requests for administrative assistance, providing support to all functional areas of the Commercial Department.
  • Maintain and organize project documents, including meeting minutes, action logs, and status reports.

 

Other duties and responsibilities commensurate with the position may be assigned.

About you:

  • Undergraduate university degree in Marketing, Airport Management or related field.
  • At least two years of experience working in a corporate organization, ideally in an airport environment 
  • Ability to work cross-functionally with impacted stakeholders.
  • Curious about the “why” and able to thrive in ambiguity.
  • Strong verbal and written communication skills.
  • Sound knowledge of project management & delivery techniques. 
  • Demonstrable business acumen.
  • Critical thinking and analytical skills for the resolution of operational problems.
  • Able to be a self-starter and make effective decisions with minimal supervision.
  • A team player focused on effective operational performance in a complex environment.
  • Ability to foster ongoing relationships with network airports and stakeholders.
  • Aptitude for critical problem solving and conflict resolution, with the ability to maintain objectivity and impartiality.
  • Ability to navigate ambiguous situations, bring options and provide recommendations. 
  • Solutions-driven and self-starter, who understands the importance of accuracy and timeliness, makes a difference and contributes to the success of the business. 
  • Must be highly proficient in Microsoft suite of applications, in particular, Microsoft PowerPoint, with the ability to create clear, compelling, and visually engaging presentations. Should be able to translate complex ideas into impactful slides tailored to diverse audiences. 

Primary Work Location: Chicago or Remote / Hybrid US
