The role

Reporting to the Director, Facilities, the Facilities Coordinator is responsible for managing facilities services, ensuring safety protocols, and compliance with building regulations. The role requires experience with facility management software, particularly Maximo, and includes monitoring and managing facility access and security systems.

 

Key responsibilities

  • Monitor and manage facility access and security systems.
  • Oversee and support maintenance of Terminal 7/ 6, to ensure a safe, clean, and functional environment.
  • Receive, manage, and processes work order requests; ensures problems are resolved quickly.
  • Act as liaison with any outside contractors needed to resolve specialized problems.
  • Draft and implement preventive maintenance schedules and safety standards.
  • Ensure safety standards are followed throughout facility.
  • Participate in emergency preparedness planning and assist with environmental permits.
  • Manage Maximo administration and configuration modules; workflow development and administration.
  • Serve as primary contact for Maximo system users.
  • Works with IT to apply, test and verify fixes/patches to Maximo system.
  • Act as liaison between functional users, IT staff, and external business partners/consultants.
  • Translate Enterprise Asset Management business requirements into technical specifications to support on-going initiatives across the facility.
  • Collaborate on project management initiatives and create clear project plans with deliverables.
  • Prepare and deliver status reports of the projects with a clear course of action, accountability and escalations.
  • Establish, maintain and strengthens internal and external relationships.
  • Ensure compliance with relevant laws and regulations.
  • Other duties and responsibilities that commensurate with the position.

About you

  • At least 3 years experience in the field preferably.
  • Experience working within a regulated business is an asset.
  • Maximo Certification is a plus.
  • Project management and implementation, program management, change management, and business systems experience.
  • Experience with business process management to include process definition.
  • Experience as an Enterprise Asset Management “IBM: Maximo” functional administrator is preferred.
  • Excellent verbal and written communication skills required; must be comfortable connecting and communicating with individuals at all levels of an organization.
  • Demonstrated team leadership skills with the ability to motivate and develop team members for exceptional performance and contribution.
  • Ability to navigate ambiguous situations, bring options and provide recommendation.
  • Strong knowledge of applicable regulatory requirements, including the ability to assess, develop and implement internal controls related to security systems.
  • Strong listening and comprehension skills, as well as the ability to develop and clearly articulate a perspective.
  • Highly developed sense of accountability and follow-through with an ability to effectively prioritize multiple tasks, projects, and goals.
  • Strong organizational and prioritization skills needed to delivery timely on requested projects.
  • Excellent written and verbal communications.
  • High level of attention to detail.
  • Strong interpersonal and presentation skills, ability to communicate effectively with others at all levels of the organization.
  • Organization and planning skills crucial for multi-tasking while prioritizing and executing tasks.
  • Experience configuring workflows within Maximo.
  • Knowledge of Maximo Asset Management and Database Systems.
  • Experience with production support for issue resolution.
  • Highly skilled in using MS Excel spreadsheets.
  • Demonstrated ability to accurately work with large amounts of financial and accounting data.
  • Good planning and organizational skills.
  • Ability to work independently with little or no supervision but be a team player.
