    Contribute to the Business of Airports, Around the World

    Located at the Denver International Airport, this key role is responsible for the smooth functioning of the new Vantage corporate office in Denver.  The Administrative Assistant provides administrative assistance to the Vantage team in Denver, will be the first point of contact for a variety of internal and external stakeholders, and coordinates activities with Vantage colleagues across the globe.  The successful candidate will be professional, display good judgment and have a calm and capable demeanour. 

    This is a non-exempt position, based on 40 hours per week. Candidates must be legally entitled to work in the United States. 

     

    Key Responsibilities Include:

    Executive and Administrative Support

    • Responds to requests for administrative assistance from members of the Vantage Denver team
    • Liaises with the Vantage corporate office in Vancouver, Canada to make travel arrangements, coordinate meeting schedules and other matters
    • Compiles and summarizes travel itineraries
    • Prepares correspondence, presentations, meeting agendas, meeting minutes and reports
    • Liaises with Vantage corporate office to support the annual business planning process, undertakes basic accounting and bookkeeping duties and supports the budget forecasting requirements
    • Manages expense accounts, including preparation of claims forms
    • Files documents of all types to ensure easy retrieval of needed information
    • Ensures the smooth-functioning of the office by directing incoming telephone calls and walk-in inquiries, sorting and handling all incoming and outgoing mail and couriers, as required, and maintaining adequate stock of office, copier and kitchen supplies
    • Coordinates the issuance of building security passes, parking passes as required
    • Ensures temporary administrative resources are arranged, if needed, to cover vacation periods
    • Other duties as required

    Meetings and Events

    • Provides real-time scheduling support by coordinating/accepting appointments and preventing conflicts
    • Assists with the administrative preparation for meetings, including invitations and scheduling, and preparation of documents
    • Assists with all aspects of meeting and event coordination, including room bookings, audio-visual and other venue arrangements, and catering, as needed

    Projects

    • Undertakes a variety of administrative projects, project coordination and project support duties, as needed

     

    ABOUT YOU

    You possess the following experience and abilities:

    • Minimum 2 years of experience as an administrative professional, experience in a professional, for-profit, corporate setting preferred
    • Adept technological skills: advanced-level skills in Excel, Word, PowerPoint, Outlook; proficiency in on-line search tools, task management software and project management software
    • University degree, or equivalent combination of post-secondary education and professional experience
    • Professional demeanor – calm, capable of managing multiple priorities and diffusing tense situations
    • Natural organizer – able to organize and schedule people and tasks
    • Accurate and detail oriented – able to produce accurate and complete information
    • Team player proven ability to effectively collaborate with internal and external teams
    • Anticipatory – able to anticipate what will be required and act accordingly
    • Good judgement demonstrated track record of making sound and timely decisions; able to work with discretion on confidential matters
    • Skilled communicator – articulate, with good writing and editing skills
    • Motivated to take ownership and deliver in a fast-paced environment
    • Creative, inquisitive, ability to keep in mind the ‘big picture’ while attending to details
    • Strong organizing and prioritization skills, ability to be flexible with changing priorities and multi-task as needed
